Montreal United Basketball (“Montreal United”, “we”) is a non-profit youth basketball organization in Montreal. This policy explains what personal information we collect through montrealunited.ca, why we collect it, who sees it, and the choices you have. It follows Quebec’s Act respecting the protection of personal information in the private sector (Law 25).
What we collect and why
- Program registration: the player’s name and date of birth, the parent or guardian’s name, address, phone and email, an emergency contact, any health information you choose to give us, and a typed signature. We use it to run the program, to reach you about it and to keep players safe.
- Team registration for tournaments: the contact person’s name, address, phone and email, the team name and the roster. We use it to organize the tournament and to publish the schedule, scores and standings, which show team names only.
- Donations and sponsorship: your name, organization, address, phone, email, the amount, any testimonial you write, and whether you allow us to post your name or your amount. We publish only what you allow.
- Contact form: your name, email, phone and message, so that we can answer you.
- Vendor application: the business name, contact name, phone, email and what you sell, to organize the vendor space at our events.
- Photos and video: registration forms include permission to photograph and film players for promotional use, for example the champions photos on this site. You can withdraw that permission at any time (see Your choices and rights).
Payments
Card payments are processed by Square. Your card details go directly to Square through a secure field on the form; we never see or store your full card number. Square’s privacy policy applies to that step: squareup.com/ca/en/legal/general/privacy. Payments by e-transfer are handled by email.
Where your information goes
- Form submissions are stored in this website’s database and may be sent by email to the people at Montreal United who handle them.
- The website and its database are hosted by Web World Hosting on servers located in the United States, and our email runs on Microsoft 365. Personal information may therefore be stored or processed outside Quebec, with the safeguards the law requires.
- The contact form uses Google reCAPTCHA to block spam; Google receives your IP address and browser details for that check (Google privacy policy). The site’s fonts load from Google Fonts, which also sees your IP address.
- We do not sell personal information, and we do not use advertising trackers or analytics services on this site.
Cookies
This site does not set cookies for visitors; only staff who sign in receive login cookies. It does not use advertising or analytics cookies. Google reCAPTCHA may set its own cookies on the contact page, and Square’s payment field may set its own on pages with a payment form.
How long we keep it
- Registration and payment records: for the season or tournament they concern, then as long as accounting and legal record keeping require.
- Contact messages and vendor applications: until the request is handled, and for a reasonable time after.
- Donor information: as long as needed for receipts and records.
You can ask us to delete your information earlier (see Your choices and rights); we will, unless the law requires us to keep it.
Children
Our programs are for minors. Registration information about a child is provided by a parent or guardian, and we use it only for the program. We do not knowingly collect information from a child under 14 without a parent’s or guardian’s consent.
Your choices and rights
You can ask to see the personal information we hold about you, have it corrected, withdraw your consent (including for photos and video), or have it deleted. Write to info@montrealunited.ca. We answer within 30 days. If you are not satisfied with our answer, you can file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca).
Security and incidents
Access to form submissions is limited to Montreal United staff with a login. The website uses an encrypted connection (HTTPS), protection against repeated login attempts and regular updates. If a confidentiality incident presents a risk of serious injury, we will notify the people affected and the Commission d’accès à l’information, as the law requires.
